This privacy statement applies to all processing of personal data by MoreStorage B.V. and to all websites managed by MoreStorage B.V.

What personal data do we process?

Depending on your relationship with us and how you use our websites/services, we may process the following data, amongst other things:

Why do we process personal data and on what legal basis?

We only process personal data if there is a legal basis for doing so.

1. Newsletter and email marketing
   Purpose: to inform you about products, services and promotions.
   Legal basis: consent (you can unsubscribe at any time via the unsubscribe link or by emailing info@morestorage.nl).
2. Quotations, enquiries and complaints (pre-contractual and service-related)
   Purpose: to handle enquiries, requests for quotations, complaints and service requests.
   Legal basis: necessary for (pre-)contractual measures and/or legitimate interest (customer relationship, service quality).
3. Performance of contracts
   Purpose: provision of services, account/relationship management, operational execution.
   Legal basis: necessary for the performance of the contract.
4. Contact and exercise of rights
   Purpose: responding to your messages (email, telephone, social media), requests and rights (access, erasure, etc.).
   Legal basis: legal obligation and/or legitimate interest (sound business operations and communication).
5. Legal (tax) obligations
   Purpose: to comply with administrative and tax legislation.
   Legal basis: legal obligation.
6. Internal analysis and improvement
   Purpose: quality improvement, internal analyses, product and service development.
   Legal basis: legitimate interest, with appropriate safeguards (data minimisation, restricted access).
7. Marketing to existing customers (without tracking)
   Purpose: to inform you about relevant services/products.
   Legal basis: legitimate interest, subject to which you may object at any time (see section 10).

With whom do we share personal data?

We share personal data exclusively:

• With parties necessary for the performance of our contract or the provision of our services (e.g. IT/hosting providers, software suppliers, communications providers) and where this is required by law or necessary for the resolution of a dispute.

We enter into data processing agreements with data processors. We do not sell or rent out personal data.

Transfer outside the EEA (EU/EEA)

Where we use suppliers who (may) process data outside the European Economic Area, we ensure appropriate safeguards in accordance with the GDPR (e.g. contractual arrangements and, where applicable, recognised transfer mechanisms).

How long do we retain your data?

We do not retain personal data for longer than is necessary. Guidelines:

• Contact details: 3 years after the end of the agreement or last contact
• Financial data: 7 years (statutory retention obligation)
• Transaction data: 5 years (including services/products purchased)
• Information requests/complaints: 3 years after resolution
• Marketing opt-out: for as long as necessary to respect your opt-out

Security

We take appropriate technical and organisational measures to protect personal data and prevent unauthorised access. Access is restricted to authorised staff, to the extent necessary for their role. Data that you enter via our websites is transmitted via a secure connection.

Your rights

You have the right (subject to certain conditions) to:

• access,
• rectification,
• erasure,
• restriction of processing,
• data portability,
• objection (to processing based on legitimate interests),
• withdrawal of consent (if processing is based on consent).

Opting out of marketing communications

• Newsletter: unsubscribe via the unsubscribe link or via info@morestorage.nl.
• Marketing based on legitimate interest: you can object via info@morestorage.nl (subject line: “Objection to marketing”). We will then cease that form of communication.

Social media

When you contact us via social media, we process the data you provide to us there in order to respond. We are not responsible for the way in which social media platforms themselves handle personal data.
